Position Summary
The NYSCamp Associate Director provides high-level administrative, operational, and program support to ensure the smooth planning, coordination, and execution of the National Youth Science Camp and related National Youth Science Academy (NYSAcademy) activities. This role is ideal for a detail-oriented, tech-savvy individual who excels at organization, communication, and managing information systems—particularly AirTable, Google Workspace, and Discord.
The Associate Director will serve in a general support capacity leading up to the 2026 National Youth Science Camp, working with the NYSCamp Director to coordinate among camp leadership, program staff, presenters, alumni, partners, and participants. During the program, the Associate Director will serve in a capacity that covers either Programming, Logistics, and/or Operations.
Key Responsibilities
1. AirTable Management & Data Operations (40%)
- Maintain and optimize AirTable database used for applicant and delegate data, program logistics, application, scheduling, and reporting.
- Update records regularly to ensure data accuracy and consistency.
- Build or edit views, interfaces, forms, and automations to improve workflow efficiency.
- Troubleshoot AirTable-related questions from staff and volunteers.
2. Administrative & Email Communication Support (30%)
- Manage office inboxes, triage messages, and draft professional email responses in support of the National Youth Science Camp.
- Handle routine inquiries from students, parents, educators, partners, presenters, and alumni.
- Maintain meeting agendas, notes, and follow-up actions.
3. Program Planning & Operational Coordination (30%)
- Assist with preparation for the National Youth Science Camp and year-round programming.
- Support presenter outreach, confirmations, and materials collection.
- Help coordinate participant communications, program timelines, and onboarding workflows.
- Assist with travel logistics (when needed), equipment planning, and supply tracking.
- Support the Director in shaping annual timelines, operating procedures, and program improvements.
- Collaborate with staff to ensure activities, workshops, and special events run smoothly.
Qualifications
Required
- Strong proficiency with AirTable, including views, automations, and interfaces.
- Excellent verbal and written communication skills.
- High level of organization, accuracy, and attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Professionalism, discretion, and a service-oriented mindset.
- Ability to work independently with minimal supervision.
- Comfort working in a mission-driven, non-profit environment.
Preferred
- Experience supporting youth development, educational programs, STEM initiatives, or camps.
- Familiarity with productivity and communication tools (Google Workspace, Zoom, etc.).
- Experience in program operations, event planning, or administrative support.
- Basic knowledge of project management best practices.

Compensation & Benefits
- $1,000 monthly for a total of $7,000.
